Yes, we work with partners who provide event insurance to cover unexpected issues. Event insurance is optional, but highly recommended, especially for larger events. We can help guide you through the process if you choose to secure coverage for your event.
Six to eight weeks works for a straightforward programme in a known venue. Allow three to six months for custom builds, venue exclusivity, or anything landing near Art Basel in December, Miami Music Week in March, the Formula 1 Miami Grand Prix in May, Swim Week in July, or the Boat Show and Wine & Food Festival in February — those weeks compress venue, crew, freight and hotel capacity at the same time.
Usually, if the event touches public property, uses temporary structures, or exceeds a venue's normal use. City of Miami special event applications are due at least 30 days ahead for up to 1,000 attendees and 45 days above that, and the file needs a site plan, life safety plan, indemnity agreement and certificate of insurance. Parks venues can require 90 to 120 days. Each municipality in Miami-Dade runs its own process.
Planning owns the administrative side — guest lists, timelines, budgets, vendor bookings and catering. Production owns what the audience sees and hears: audio, lighting, video, staging, scenic and show-calling. Opulence does both, which is why the run of show and the technical plot are built against each other rather than handed between two companies.
Sometimes. Many Miami venues carry exclusive or preferred vendor lists for catering, AV, rigging and security, and where one applies it is not negotiable on the day. We confirm the list before the concept is costed so you are not choosing a supplier the venue will refuse at the dock.
