Every service on this page is delivered inside the same four constraints, and in Miami-Dade County they are what separate an event that runs from one that improvises. Which municipality governs your venue — the City of Miami, Coral Gables, Miami Beach or unincorporated Miami-Dade — decides the permit pathway and the lead time. Your guest count and venue type set the budget floor. The building sets what can be rigged and how it loads in. And the Miami calendar decides what everything costs that week. We plan against all four before we design anything.
For outdoor events, start at least 60 days out. Miami-Dade Parks, Recreation and Open Spaces needs 30 days for small gatherings and 60 to 90 days where there is amplified sound, alcohol service or commercial vendors. Road closures and temporary structures push that to 90 days or more.
Venue food and beverage minimums are usually committed before a single lighting fixture is specified, so the venue conversation has to happen before the production is costed. Headcount, venue, technical scale and talent are the four variables that move a corporate event budget in Miami-Dade, and every event is scoped and quoted on its own requirements.
Temporary structures anywhere in the county need drawings signed and sealed by a licensed Florida engineer, and Miami-Dade Fire Rescue will not approve an outdoor event without an emergency egress plan. Liability coverage in Miami-Dade generally starts at $1 million per occurrence for events under 500 attendees.
Hurricane season runs 1 June to 30 November, so any outdoor or tented element needs a priced weather contingency and a written decision point. Miami Art Week in December, Miami Music Week and the Miami Open in March, and the Formula 1 Grand Prix in May all tighten venue availability, crew rates and hotel inventory.
